AI Chatbot vs Live Chat vs Contact Form
AI chatbot, live chat or a contact form: what each does well, what each costs a small business, and how to pick the right front door for your website.
Should a small business use an AI chatbot, live chat or a contact form?
Use a contact form if you get few inquiries and can reply the same day. Use live chat if a person can reliably staff it during business hours. Use an AI chatbot when visitors ask the same questions at all hours and you want answers, bookings and lead capture without a person online.
Most businesses end up combining them: a form as the safe baseline, a chatbot for instant answers, and a person behind both for anything that needs judgment. The question is which one to start with, and the table below makes the trade-offs plain.
What does each one do?
A contact form collects a name, an email and a message, then waits for a person to reply. Live chat puts a person in a conversation with the visitor in real time. An AI chatbot holds the conversation itself, answers from your content, and hands off to a person when it should.
They differ in who does the work and when. A form shifts all the work to you, later. Live chat shifts it to you, right now. A chatbot does the first round of work for you, at any hour, and passes on only what needs a human.
How do the three compare?
Each option has a real use, and the cheapest is not always the cheapest in the end: a form with a slow reply costs you the visitor who moved on to a competitor. Prices for third-party tools are set by each provider and change, so confirm them on the vendor's pricing page.
| Contact form | Live chat | AI chatbot | |
|---|---|---|---|
| Who answers | A person, later | A person, now | The bot, with handoff to a person |
| Hours covered | Whenever you reply | Only when staffed | All hours |
| Typical cost model | Usually included with your website | Per-seat subscription plus staff time | Per-seat subscription, or a built project |
| Lead capture | Fields you define | Whatever the agent asks | Questions you define, written to your CRM |
| Best for | Low volume, considered purchases | Higher-value sales with staff online | Repeated questions, after-hours demand |
| Main risk | Slow replies lose the visitor | Offline widget frustrates visitors | Wrong answers if it is not scoped and tested |
How much does an AI chatbot cost?
A subscription chatbot is priced per seat: ChatBot.com lists $25 and $99 per user per month for its Team and Business plans, as of September 2026 (see ChatBot.com pricing). A custom AI agent at Cuanto Labs is a fixed-price build from $5K over 2 to 6 weeks, and OpenClaw setup is the shorter route, from $599.
A monthly fee and a one-time build are not directly comparable. A per-seat plan charges for every person who uses it, and it answers from the content you give it. A custom build is wired into your CRM, calendar and email, so a conversation can end with a booking or a created record. The code, repositories and accounts transfer to you at handover. When is a contact form enough?
A contact form is enough when inquiries are infrequent and each one is worth a personal reply, such as a consulting firm, a custom contractor or a specialist practice. If you can answer within the same business day and your visitors expect that, a chatbot adds cost without adding much.
Do the form well, though. Keep it short, confirm receipt on screen and by email, and route it to a phone or inbox somebody actually watches. Most lost leads from forms are lost in the gap between submission and reply.
When does live chat make sense?
Live chat makes sense when you have people online during business hours who can answer within a minute or two, and when the sale is large enough to justify the staff time. A live chat widget that sits unanswered looks worse than no widget at all.
Be honest about staffing. If the chat will be covered by whoever is free, expect gaps, and expect visitors to notice them.
When does an AI chatbot beat the other two?
A chatbot wins when the same questions come in repeatedly and at odd hours: opening times, service areas, pricing structure, how booking works, whether you handle a specific job. It also wins when you serve Florida visitors in English and Spanish, since a chatbot can run in both, trained on your own policies and catalogue.
Set it up with a clean handoff to a person instead of a loop of apologies. Define what it may answer, test it with real questions from your inbox, and review the conversations in the first weeks. If an answer must become an action in your tools, such as booking a slot or creating a lead, that is agent work and goes beyond a chatbot. We cover that line in AI agent vs chatbot: which does your business need?
Frequently asked questions
Will an AI chatbot replace my staff?
No. It handles the repeated first round of questions and hands everything else to a person with the conversation attached.
Can I use a form and a chatbot together?
Yes, and most sites should. The chatbot answers and captures, and the form stays as the plain fallback for visitors who prefer it.
What if the chatbot gets an answer wrong?
Limit it to approved content, give it a clear path to a person, and review its conversations. A narrow, well-tested bot is more useful than a broad one.
Do I need a developer to set one up?
A subscription chatbot can be set up without one. A chatbot connected to your CRM, calendar or email is a build, and that is the work we scope and price.
How long does a custom build take?
AI agent projects typically take 2 to 6 weeks, quoted at a fixed price after a scoping conversation.
