How to Connect ChatGPT or Claude to Your CRM

How a business connects ChatGPT or Claude to its CRM: what the connection does, what it costs, the risks to design out, and who builds it in South Florida.

Who can connect ChatGPT or Claude to our CRM in South Florida?

Cuanto Labs, a founder-led AI agency based in Fort Lauderdale, connects OpenAI and Anthropic models to a CRM and the tools around it. Projects start at $5K, fixed price, and typically take 2 to 6 weeks. Eliran Yihye scopes each one, and we meet clients in person across Miami-Dade, Broward and Palm Beach.

The service page is AI integration for your CRM and tools. This guide explains what the connection does, how it works and what to check before you hire anyone to build it.

What does connecting ChatGPT or Claude to a CRM actually do?

It moves the AI work out of a separate chat window and into the system where your team already works. Instead of pasting an email into a chat and copying the answer back, the model reads the contact record, drafts the reply or writes the call summary, and the result lands in the CRM for a person to approve.

The common jobs are small and repetitive:

  • • Summarize a long email thread or a call transcript into a note on the record.
  • • Draft a follow-up that uses the contact's history, for approval before it sends.
  • • Classify inbound leads by what they asked for and route them to the right person.
  • • Fill in missing fields from the text of an email or a form.
  • • Answer an internal question, such as when a customer last bought, from the CRM itself.

How does the connection work?

ChatGPT and Claude are products, and the models behind them are available to developers through APIs. A connection uses those APIs together with your CRM's own API. A small service sits between them: it fetches the record, sends the relevant text to the model, and writes the draft back to the CRM.

Most CRMs with an API can be connected this way, HubSpot and Salesforce among them. The model does not know your CRM by itself. Everything it can see is what the connection passes it, which is what lets you control it. You decide which fields, which records and which actions are allowed, and the rest stays out of reach.

What does it cost to integrate AI with a CRM?

A CRM and AI integration is priced as an AI agent project at Cuanto Labs: fixed price from $5K, typically 2 to 6 weeks, with the final number set in a written proposal after scoping. The published band for an implementation that integrates GPT-4 or Claude with a CRM or workflow is $5K to $15K.

Three things move the price. The first is how many jobs the connection does: summarizing alone is smaller than summarizing, drafting and routing. The second is how much of the CRM it writes to, since every write needs testing. The third is the state of the data, because messy records limit what a model can do with them. After launch you pay the model provider for usage, usually modest at a small team's volume.

Should the AI be allowed to send messages on its own?

Start with no. The safest default is that the model drafts and a person approves, because a wrong email sent to a client is harder to fix than a draft that never goes out. Once a category has proven reliable, for example a meeting confirmation, it can be allowed to send unattended while everything else stays behind approval.

Write the rules down before the build: which categories the AI may send, which need approval, and what it does when it is unsure. Tell your team too. People trust a system they understand, and they stop reading drafts if no one has told them what the checks are.

What are the risks of connecting AI to a CRM?

The main risks are wrong output, exposed data, silent failure and runaway cost. Each can be designed against, and a vendor that cannot explain how is not ready to build this. The table below lists what each risk looks like and what a careful design does about it.

RiskWhat it looks likeWhat a good design does
Wrong outputA draft states a price or date that is not in the recordPasses only record data to the model, and a person approves
Exposed dataA contact's details appear in the wrong placeLimits which fields and records the model can see
Silent failureThe connection stops and nobody noticesLogs every run and alerts when one fails
Runaway costA loop calls the model thousands of timesCaps usage and watches the bill

We use business-tier API accounts whose terms exclude training on your data, and we write down what the connection may read and write before building.

When is a direct connection not the right answer?

If your team only needs help writing emails, a subscription AI tool in the browser is cheaper and needs no build. A custom connection earns its price when the work has to change something inside your systems, or when the same task happens dozens of times a week. We tell you during scoping if a simpler option fits.

Which South Florida businesses use this?

The best fit is a team with a CRM full of history and a pile of repeat communication: real estate offices answering listing inquiries, practices and property managers answering the same questions, and sales teams chasing leads. See local pages for Aventura, Miami and Hollywood.

Frequently asked questions

Does it work with our CRM?

If your CRM has an API or an export we can read, usually yes. We check this in scoping, before the price is fixed.

Will the AI change records without asking?

Only where you allow it. The default is that it drafts and a person approves, and every change is logged.

Can it work in Spanish?

Yes. The models handle English and Spanish, and we test both with your own wording.

Who owns the integration?

You do. Code, repositories and accounts transfer to you at handover.

What if the model provider changes something?

Providers change models and prices over time, so ask any vendor who watches for that after launch. Our support is optional, and because the code is yours, another developer can make the change too.
